A comprehensive NNIT Healthcheck provided a mid-sized Contract Manufacturing Organization (CMO) with a reliable and realistic overview of how to maximize the value of Veeva Quality Cloud.

How can we lift our use of Veeva Quality to the next level?

That was the challenge for a medium-sized Contract Manufacturing Organization (CMO) that recently engaged with NNIT to receive thorough, honest and actionable feedback on how to optimize their Veeva Quality Cloud configurations and processes to achieve full benefits of the platform.

Like many life sciences companies, the CMO had already implemented several Veeva products, taking the first important steps toward greater digitalization. Now, they were ready to further advance their use of Veeva Quality Cloud.

“The CMO implemented several Veeva Quality applications and, after using the platform for some time, they identified several areas for enhancement, such as improving user adoption, reducing manual processes, and addressing configuration needs", says Justin Wolf, Principal Consultant, Quality Solutions at NNIT, lead on the team that assisted the CMO.

This situation is common among life sciences companies. Even with thorough implementation, some areas for improvement may only be identified once the platform is applied in daily operations.

Finding every opportunity for improvement

To get a full overview of the potential for improvement, the CMO asked NNIT to carry out an NNIT Veeva HealthCheck, which is a structured assessment of their entire Veeva Quality setup and use. The process is carefully designed to examine all relevant aspects, including system configuration and user permissions, compliance, user experience, workflows, and reporting.

Over a period of 3-4 months, we worked closely with the client to review their system settings, get feedback from users via surveys and interviews, and evaluate the configuration and data flow. This provides an accurate and holistic overview which we compare to industry best practices, Justin Wolf explains.

A clear path to greater success

Based on the review of the CMO’s Veeva Quality configurations and processes, NNIT identified 80 different gaps, ranging from minor improvements to complex processes that required optimization to realize the full platform potential. Everything was summarized with a clear recommendation of priority and the level of effort required to address and validate each gap.

“The HealthCheck process enables us to identify and prioritize opportunities for improvement. Based on these insights, we provide a detailed report with recommendations for enhancements and a roadmap for future work. There is a great deal of co-creation with the client during this step. We don’t dictate their way forward but instead make sure all available options and potential benefits are clearly laid out,” Justin Wolf says.

The benefits include both efficiency gains, stronger proof of compliance, and more accurate reporting that can be used for decision-making. For example, enabling a document archive function made it much easier for the CMO’s quality staff to retire documents that were no longer needed, while configuration to the QMS change control workflow added partner approval as a required step. Among the bigger projects, a cumbersome process for handling pre-quality events can be moved from e-mail into the Veeva Quality Cloud platform.

With this comprehensive and detailed overview, the CMO is now much better equipped to improve the value of their investment in Veeva Quality Cloud.
