Master Data Management for Faster, More Compliant Pharma Decisions

A large pharmaceutical company's product master data was scattered across documents. NNIT helped establish one governed single source of truth for product master data, improving speed, quality, and compliance.

Building a single source of truth with master data management

As product data is critical across business functions and downstream systems, a large pharmaceutical company needed a more reliable way to manage, govern, and share its product master data. Working with NNIT's specialist life sciences IT expertise, the company moved from fragmented documents and duplicated entries to one authoritative source, supported by governance, standardized processes, and clear ownership. The result improved data quality, strengthened compliance, and gave teams one trusted product master data across departments and systems.

Case in brief

  • Challenge: Product master data lived in multiple documents, causing repeated manual entry, inconsistencies, errors, and slower decisions.

  • Solution: One governed single source of truth for product master data, with clear ownership, standardized processes, regulatory terminology, confidentiality classification, access control, and change management.

  • Benefit: Faster processes, higher data quality, stronger governance, and one trusted product master data across departments and downstream systems.

Fragmented product data was slowing the business

Product master data was created and maintained in multiple documents, then copied into several downstream systems. With no single system of record, teams repeatedly entered, checked, and reconciled the same information. This manual way of working increased cycle times and added workload across functions, while introducing inconsistencies and errors that had to be investigated and corrected in dependent processes. The fragmented setup reduced trust in reporting and analytics, slowed onboarding and change management, increased compliance complexity, and delayed decisions based on outdated or conflicting data. As the company scaled, these inefficiencies became a structural bottleneck, turning product data from an operational issue into a barrier to speed, transparency, and compliance.

Establishing one authoritative product master

NNIT helped the company establish an authoritative single source of truth for product master data. The work began with an analysis of the end-to-end process, mapping where data was created, maintained, approved, shared, and reused. From there, a streamlined future-state workflow was designed to cut manual rework and improve data maturity and data quality from the point of creation. Key elements included clear data ownership and stewardship, a data governance framework defining how product data is created, reviewed, approved, and maintained, and standardized processes to reduce re-entry and reconciliation. They also included integration of external regulatory reference data for consistent terminology (part of the shift from documents to structured, standards-aligned data), along with confidentiality classification to protect sensitive early-stage product information. Finally, access control aligned with business and compliance needs and structured change management to support adoption rounded out the list.

The value was clear from day one: one trusted product master drives faster decisions and consistent execution across teams and systems.
